Activity Application

  • Please apply for an activity at least two weeks in advance.
  • Applications are processed on a first-come-first-served basis. Staff will notify your application result within one month before the activity date.
  • You are not required to pay immediately upon activity registration. Successful applications will receive an email with payment link and method. Please follow the email instructions to pay and confirm your application.
  • Fee-exempted individuals or groups will directly receive a confirmation email if their application is successful
  • When applying as a group, please include all staff, volunteers or members of your group who will accompany the activity.

 

Refund and Rescheduled Activity Arrangement

  • If the activity is cancelled according to the following “Poor weather arrangements”, the Centre will refund or arrange for a rescheduled session according to the terms below. Activities cancelled due to other circumstances will not be refunded or otherwise rescheduled.
  • If a group booking activity is cancelled due to poor weather, the applying organization can contact the Centre. A rearranged session will be held within two months from the original activity date.
  • If an individually-applied activity is cancelled due to poor weather, the Centre will rearrange an alternative session and notify the applicant.
  • Certain activities may have different alternative arrangements. The Centre will notify the applicants of these activity arrangements accordingly.
  • If the activity is restricted by season or other factors and an alternative session cannot be arranged, the Centre reserves the right to offer other activities as substitutes.
  • If the applying organization or individual cannot participate in the alternative session, the Centre will refund the application fee.
  • If the rearranged session is also cancelled due to poor weather, the Centre will not make further arrangements and directly refund the application fee.

Remarks

  • Activity cancellation will be determined by the professional judgment of Centre staff based on weather conditions.
  • Certain activities may have different bad weather arrangements. The Centre will notify the applicants of these activities accordingly.
  • In the event of changing weather conditions during an activity, Centre staff will evaluate actual weather conditions, and any weather guidelines of the outreach venue (if applicable). Centre staff may decide to stop an activity and arrange for participants to seek shelter at a safe location.

 

Late Arrival and Traffic Arrangement

  • All participants should arrive at the starting point at least 10 minutes in advance.
  • If a participating group is late for more than 15 minutes, the activity may be cancelled without rescheduling or refunds.
  • If a tour participant is late for more than 15 minutes, the tour may have departed from the gathering point and the Centre will not arrange for a rescheduled session or refund.
  • If a participating group is late for more than 30 minutes, in addition to the above arrangements, Application Restriction Policy may also be applied to the organization (see below)
  • If disabled access is required, please contact the Centre at least one week in advance.
  • If there are changes to participant numbers, please contact the Centre at least three days in advance.
  • Participating groups taking coaches may contact the Centre ahead of time for route and pick up/ drop off point locations.

 

Application Restriction Policy

  • The Application Restriction Policy (ARP) is a regulation to prohibit associations that have violated our rules from applying for centre activities for six months. Please note that ARP will be applied to your organization on free activity applications if any of the following conditions are met before/during your scheduled activities:
    • The scheduled activity is cancelled by your group 2 weeks or less in advance.
    • The number of participants exceeds the upper participant limit or is less than the lower participant limit of the activity.
    • Your group does not show up at the tour starting point/workshop activity site on the scheduled date.
    • Your group arrives at the tour starting point/workshop activity site at least 30 minutes late.
    • On the day of activity, your group fails to provide an outreach venue or materials, resulting in delays of more than 30 minutes or cancellation.
    • Your group requests to end your activity more than 30 minutes earlier than originally proposed without notifying us at least one day before the activity date.  
    • Participants engage in improper behavior:
      • Deliberately damage the centre’s facilities
      • Violate country park rules
      • Acting disrespectfully to our staff or centre representatives (e.g. using foul language towards centre representatives)
      • Not following instructions and endangering oneself or others
  • ARP will not be applied if the above conditions are the result of the following factors:
    • Your group changes your plans due to your organization’s adverse weather policy and you notify us at least two days before the event day of your organization's adverse weather policy. Please note LFSEEC's adverse weather policy above.   
    • There is an outbreak of disease or any other health threats in your local community.
    • You are unable to reach the tour starting point/workshop activity site due to suspension of transportation service/serious traffic jam on that day.
    • Unexpected emergencies/accidents happen before the scheduled activity.
    • Your site is suddenly unavailable for holding activities due to technical failures or other site emergencies.
    • Any other events of Force Majeure.
  • An official email will be sent to your organization if ARP is applied including the period for which the policy will be applied.
  • During the ARP period, your organization’s applications for free activities will not be accepted. Your organization’s applications will be considered for acceptance again after the ARP period has expired.
  • You may appeal the decision for up to 1 week after the official email has been sent. Proof or documentation may be attached in your repeal email.
  • If the ARP has been issued to your organization more than once, a longer suspension period may be applied.

 

Others

  • All activities have their potential risks. Participants are responsible for their own safety and insurance.
  • The Centre may record the event with photos, videos or voice recordings for promotion or education purpose on online or offline media.
  • Please refer to the Centre’s website for activity fees and other terms and conditions.
  • The Centre reserves its right to alter, delete or add on to any or all of the above terms and conditions without prior notification.
  • In case of any disputes, the right of interpretation and decision lies with the Centre.

 

If there is any inconsistency or ambiguity between the English and Chinese version of this Statement, the Chinese version shall prevail.
